Who is responsible for your information

COACH M RUNNING CLUB (PTY)LTD, registration number 2024/831923/07, of 36 11th Street, Menlo Park, Gauteng, 0081, is the responsible party for your personal information under the Protection of Personal Information Act 4 of 2013 (POPIA).

Our Information Officer can be reached at support@racesupport.co.za.

What we collect

When you book race-day support we collect:

  • Your name, email address, contact number and country.
  • Your race details — which race, race number, start batch and running club.
  • An emergency contact number.
  • Your nutrition notes, including any allergy, dietary requirement or medical detail you choose to tell us.
  • Your logistics choices — start drop-off, armband number and add-ons.
  • Your booking reference, the amount you paid and whether payment succeeded.

We do not collect or store your card details. Those go directly to Yoco, our payment provider, and never reach our servers.

Health and allergy information

Anything you tell us about an allergy, medical condition or dietary requirement is special personal information under POPIA. We ask for it only so that what we hand you on race day is safe for you, and we use it for nothing else.

By entering it in the booking form you consent to us using it for that purpose. You can withdraw that consent by emailing us, but be aware that without it we cannot safely provide nutrition support.

Your emergency contact

You give us someone else's contact number. Please make sure that person knows and agrees. We use it only to reach them if something happens to you on race day, and we delete it on the same schedule as the rest of your booking.

Why we use it

  • To provide the support you paid for — this is the main reason, and it is necessary to perform our agreement with you.
  • To take payment and to meet our tax and accounting obligations.
  • To contact you about your booking before, during and after race day.
  • To keep you safe, including contacting your emergency contact if needed.

We do not sell your information, and we will not send you marketing unless you ask us to.

Who else sees it

  • Yoco — processes your payment. They receive the amount and your booking reference. They handle your card details directly; we never see them.
  • Base44 — hosts this site and stores your booking record on our behalf.
  • Our race-day crew — see only what they need to support you, including your nutrition and allergy notes.
  • Authorities or emergency services — if the law requires it, or if it is needed to protect your life or health.

Some of these providers store data outside South Africa. Where that happens we rely on their contractual commitments to protect it to a standard comparable to POPIA.

How long we keep it

We keep your booking record for as long as we need it to support you and to meet our legal obligations. Financial records are kept for five years as South African tax law requires. Your nutrition, allergy and emergency contact details are deleted within 12 months of your race unless you book again.

How we protect it

Your booking is stored behind access controls that prevent it from being read or changed from a browser — only our own server-side systems can write to it. The site is served over HTTPS. Card payments are handled entirely by Yoco, so a breach of our systems cannot expose your card.

If your personal information is ever compromised, we will tell you and the Information Regulator as POPIA requires.

Your rights

Under POPIA you can ask us to:

  • Tell you what personal information we hold about you.
  • Correct anything that is wrong or out of date.
  • Delete information we no longer have a reason to keep.
  • Stop using your information for a particular purpose, including withdrawing consent you gave us.

Email support@racesupport.co.za and we will respond within a reasonable time. If you are not satisfied, you may complain to the Information Regulator of South Africa at inforegulator.org.za.

Cookies and analytics

This site uses only what it needs to work — keeping you signed in and remembering your booking as you move through checkout — plus basic usage analytics provided by our hosting platform. We do not run advertising trackers.
